What we collect
- Student or family name. When we enrol a family, we record the name you give us (e.g. "Tanaka family") so we can issue an access code and keep track of who's enrolled.
- Access codes. Each enrolled family gets a unique access code. We only ever store a scrambled (hashed) version of it โ not the code itself โ so even we can't look up your actual code after it's issued.
- A session cookie. When you enter your access code, your browser gets a small cookie that keeps you signed in for up to 30 days, so you don't have to re-enter the code every visit. It just holds a random session ID โ no personal details are stored in the cookie itself.
- Worksheet topics. Whatever topic or grammar point you type in when generating a worksheet (e.g. "past simple", "animals").
- Chat messages with Kip. Whatever a student types to Kip, and Kip's replies, while a chat session is open in the browser.
- Email address. Collected when you book and pay for lessons through the site, so we can enrol you and, if you check out again later, match you to your existing account instead of creating a duplicate. We don't currently send any automated emails to it.
- What you booked and paid. When you check out, we keep a record of the lesson tier, quantity, amount paid, and the payment reference PayPal gives us โ this is our record of what you're entitled to and helps us avoid double-charging or double-processing a payment.
- Anonymous analytics data. We use Google Analytics to see how many people visit the site, which pages they look at, and roughly where visitors are coming from (e.g. country, device type) โ so we can tell what's useful and what isn't. This isn't tied to your name, email, or access code.
What we don't collect
We do not collect or ask for:
- Phone numbers
- Exact birthdates (we only ask which broad age group a student is in, e.g. "8โ11")
- Your card or bank details โ PayPal handles your payment directly, and we never see or store them (see "Third-party services" below)
- Advertising or retargeting trackers โ we use basic site analytics (see below) but don't run ads or retarget visitors across other sites
What gets sent to Anthropic (our AI provider)
The worksheet generator and Ask Kip are powered by Anthropic's Claude AI. To generate a worksheet or a chat reply, we send Anthropic:
- The topic you typed in (for worksheets), or the chat messages in the current conversation (for Ask Kip)
- The student's age group (e.g. "8โ11"), so replies are age-appropriate
We do not send your name or your access code to Anthropic โ there's nothing in these requests that identifies who you are.
How long we keep things
- Names, email addresses, and access codes: kept indefinitely, for as long as your family is enrolled, until we manually remove them (for example, if you let us know you're no longer using Kingfisher English, or a code needs to be revoked).
- Purchase records (what was booked, amount paid, PayPal payment reference): kept indefinitely alongside your enrolment record, for our own accounting and to prevent duplicate charges, until manually removed.
- Worksheet topics and chat messages: not stored by us at all. They exist only for the moment it takes to generate a response, and in your own browser's memory until you close the tab or log out โ we don't keep a copy on our servers.
- Session cookies: expire automatically after 30 days, or immediately when you log out.
- Analytics data: retained by Google Analytics according to Google's standard retention settings โ we don't separately store or export this data ourselves.
Third-party services we use
- Anthropic (Claude AI) โ generates worksheets and Kip's chat replies, as described above.
- PayPal โ processes payment when you book and pay for lessons. We send PayPal your name, email, and the amount due; PayPal handles your card or bank details directly and we never see or store them. PayPal sends back a payment confirmation, which we use to enrol you automatically.
- Google Analytics โ measures site traffic and usage (pages visited, approximate location, device type) so we can understand how the site is used. Google may process this data under its own privacy policy.
- Google Fonts โ loads the typefaces used on this site. Your browser requests these directly from Google.
- Cloudflare (cdnjs) โ hosts the PDF-generation code used for "Download PDF". Your browser requests this directly from Cloudflare.
The last two are standard, widely-used services that simply deliver fonts and code to your browser โ we don't send them any of your personal information ourselves.
How enrolment and consent work
When you book and pay for lessons through the site, checkout includes a required checkbox confirming that you are the parent or guardian of the student and that you consent to them using the AI worksheet generator and Ask Kip. That checkbox is our formal consent step โ we don't generate an access code or enrol anyone until it's ticked and payment is confirmed.
You can also still enrol the same way as before, without paying online: get in touch with Joel directly, agree you're joining, and we'll issue an access code by email or WhatsApp. That direct, personal arrangement counts as your consent too.
Either way, if you ever have concerns about your child using these tools, just let us know and we'll sort it out.
A note for students using Ask Kip
Kip is instructed never to ask for personal details like your full name, address, school, or phone number. But Kip can't stop you from typing something personal into the chat box yourself โ so please don't share your full name, address, school, phone number, or anything else personal or private while chatting with Kip. If you're not sure what's okay to share, ask a parent or teacher first.
